Regulations for Student Club Activity Venue Management

Article 1     These regulations are established to govern the management, application, and use of student club activity venues.

Article 2     The term "student club activity venues" refers to places on campus available for various activities organized by student clubs. The management of these venues, unless otherwise specified, shall be conducted according to these regulations.

Article 3     The Division of Extracurricular Activities is responsible for the administrative management of off-campus activity venues, including applications, coordination, control, and use.

Article 4     Procedure for Venue Application:

1.    Clubs must apply for venue use at the end of each semester within the designated time in the student club venue management system and confirm venue use after an online lottery draw within the system.

2.    If a club decides to relinquish its reservation, it must apply for cancellation in the venue management system at least three working days before the event. The use of the venue cannot be transferred privately.

Article 5     In case of special circumstances or conflicts between venue use and teaching or administrative unit activities, the Division of Extracurricular Activities may coordinate in advance to cancel a club's reservation or approved use of the venue.

Article 6     General Rules for Venue Use:

1.    The use of each activity venue should not exceed 11 PM unless prior approval for extension is obtained.

2.    Approved venues must not be used for different activities or transferred without permission.

3.    When using the venue for club activities, the following rules must be followed:

(1)   Maintain cleanliness and observe etiquette.

(2)   Emphasize environmental protection and public safety: No littering, smoking, drinking, or bringing pets that might affect the public environment.

(3)   Protect public property: Do not damage or move any existing equipment or access control devices.

(4)   Conserve resources: Use water and electricity sparingly.

(5)   Ensure safety: Do not install electrical appliances or use open flames or other items that endanger public safety without permission.

(6)   Respect copyright and intellectual property rights: Do not photograph, record, or film during exhibitions or performances without permission.

4.    After using the venue, clubs must restore it to its original state and are responsible for cleaning. Any used items or equipment should be returned to their original places.

Article 7     Evaluation Method for Club Activities in Borrowed Venues:

1.    Unauthorized installation of electrical appliances, open flames, or other items that endanger public safety in the venue will result in disciplinary action against the responsible person and, in severe cases, disbanding of the club.

2.    Intentional damage to safety equipment in the venue will lead to disciplinary action against the responsible person and compensation at cost.

3.    Intentional damage to doors, windows, walls, and other equipment in the venue must be restored or compensated for by the club.

4.    Failure to restore the venue to its original state and clean it after the event will result in restoration requirements and a one-time cancellation of the club's right to use the venue.

Article 8     These regulations shall be implemented after approval by the Student Affairs Meeting.

Note:  These regulations are formulated in Chinese. In case of any discrepancies between the English and Chinese versions, the Chinese version shall prevail.
