Regulations on Student Club Activities

Article 1     To ensure that student clubs adhere to the norms for organizing activities, these Regulations are established.

Article 2     The organization of student activities, both on and off-campus, shall follow the regulations below:

1.    Student clubs organizing activities must submit related activity information, schedules, budget estimates, parental consent forms for underage participants, and photocopies of insurance documents (participants and vehicles must be insured with a personal accident policy, with a coverage of at least one million New Taiwan Dollars per person) to the Division of Extracurricular Activities of the Student Affairs Office for review one week in advance.

2.    Off-campus educational internships and training activities organized by departments, institutes, and the Physical Education Office are to be regulated and reviewed by the respective departments, institutes, and the Physical Education Office.

3.    The activity plan should detail the itinerary and content. Participants should be grouped according to the nature of the activity, and safety instructions and contingency plans specific to the activity should be prepared. Constant attention should be paid to the weather in the area of the activity. If there is a risk of danger due to weather or other factors, the activity must be canceled or postponed. Special attention should be paid to safety along the route during the activity. Return should be as per the planned schedule, and any early departure must be approved by the activity coordinator.

4.    Activities should avoid nudity, indecent language and actions, or licentious behavior in both the design and planning stages, and in public spaces, to prevent disruption of public order and endangerment of personal safety. Violations will be dealt with by revoking the privilege of borrowing venues for one academic year and mandatory participation in moral education lectures.

Article 3     Organizers must designate a contact person for the activity, whose name, address, and phone details should be provided to the Division of Extracurricular Activities for record-keeping and monitoring by the Student Affairs Office's Campus Security Center.

Article 4     The rental of vehicles for off-campus activities should be conducted in accordance with the Ministry of Education's regulations on renting vehicles for off-campus educational activities.

Article 5     Students participating in off-campus activities (including group and individual activities) must not enter areas restricted or prohibited by county or city governments. Violations of these regulations will be dealt with according to relevant laws.

Article 6     Personal pets are prohibited in the Student Activity Center (including club offices and rehearsal rooms) and all other activity venues on campus. Violations such as damaging the venue, not using the venue within the designated time, failing to complete the venue booking or extension process, smoking, drinking, damaging access control, public property, or breaching venue regulations, will result in a suspension of venue borrowing privileges for at least one semester and mandatory community service. Additional penalties for leaving air conditioning or lights on, poor cleanliness in the rehearsal room, or damaging activity equipment will be considered based on the severity of the infraction and may include community service. In cases of equipment damage, compensation will be required.

Article 7     Parking vehicles on the disabled ramps and slopes in front of the Student Activity Center is prohibited. Vehicles should be parked in designated parking spaces. Failure to comply will result in the vehicle being locked and the imposition of community service.

Article 8     Student clubs applying for extended use of facilities in the Student Activity Center must submit their request to the respective counselor before 4:30 PM during working hours. The extended usage times are:

1.    Monday to Friday: 11 PM to 12 AM.

2.    Saturday to Sunday: 6 PM to 7 PM.

3.    National holidays and the day before the center is closed for public holidays are excluded from applications.

Article 9     These Regulations shall be implemented after revision and approval by the Division of Extracurricular Activities’ meeting.

Note:  These regulations are formulated in Chinese. In case of any discrepancies between the English and Chinese versions, the Chinese version shall prevail.
